JOB PURPOSE:
Responsible for preparing, monitoring, executing, and evaluating all procurement activities in a timely manner, ensuring the best quality, prices, and payment methods are secured from approved vendors.
KEY RESPONSIBILITIES AND DUTIES:
- Manages all related purchase requests on time in accordance with Fakeeh Care policies and procedures, and sets a tactical plan aligned with Fakeeh Care's vision and strategy.
- Ensures all critical medication items have multiple sources and alternatives, and are properly identified and categorized in the system.
- Ensures that all purchase orders are executed and completed on time, according to the approved schedule, and that items are approved by the regional FDA.
- Evaluates vendor performance annually, updating the system accordingly, and works exclusively with vendors that are registered and approved by the regional FDA.
- Continuously sources new suppliers who offer better quality, availability, pricing, and payment terms.
- Communicates and negotiates efficiently with suppliers/vendors for new orders, ensuring order confirmation includes requested items, quantities, prices, and delivery times; coordinates with the warehouse accordingly.
- Follows up closely with vendors to ensure timely deliveries as per requested quantities, and avoids stockouts or overstocking situations.
- Ensures all purchase orders and activities are updated in the system on time, and generates weekly reports for all open orders/POs with expected delivery times to share with relevant stakeholders.
- Works closely with warehouses and planning teams to return any items that do not meet requirements, including non-moving and expired items, ensuring returns are made to suppliers to avoid financial loss.
- Ensures no items are purchased or brought in unless approved by the P&T committee and the regional FDA.

- Raises any issues that may affect end-users in a timely manner, such as delays in delivery or unavailability, and suggests solutions.
- Ensures compliance with medication supply chain requirements, including MOH and regional FDA regulations, for medication procurement, importation, storage conditions, and material handling.
- Ensures all items are properly identified in the system with accurate coding, descriptions, pricing, and units of measure (UOM); addresses any variance or duplication and follows up to ensure correction and updates.
- Provides quarterly reports detailing purchase volume, completed purchase orders, cost savings, and stock returns.
- Develops and updates unit’s Standard Operating Procedures (SOPs) and continuously works to improve processes and departmental KPIs (e.g., out-of-stock rates, purchase index, aging, and turnover).
- Ensures all regular and moving items have a clear price list in the system, and ensures that new purchase prices are either below or equivalent to reference prices.
- Assists in guiding and training staff to leverage their skills and improve their negotiation capabilities, ensuring the best outcomes for Fakeeh Care.
Experience:
5 years of experience in pharmaceutical procurement, supply chain management, or a related field, preferably within a healthcare setting.
